Zotero for Mac: Inserting In-Text Citations

Zotero is a free application that can collect, organize, annotate, cite, and share research.

When you installed Zotero it added a Zotero menu to Microsoft Word and Google Docs.

The Zotero menu in Microsoft Word. Zotero options are: Add/Edit Citation; Add/Edit Bibliography; Add Note; Document preferences, Refresh; and unlink citations.

The first time you have Zotero insert a citation into your document, you will need to allow Zotero to access Microsoft Word (pop-up window) and then choose the citation style you want to use (another pop-up window).  The example below is in APA style 7th edition.

Inserting an in-text citation creates a live link between the citation in your paper and the corresponding captured item in Zotero.

Zotero for Mac: Inserting In-Text Citations

METHOD 1

- THE RED BOX -

The Add/Edit Citation button. Two square brackets with a hyphen in between them (not sure what this is supposed to represent!) and a letter Z in red on a tiny white page with text: Add/Edit Citation.

EXAMPLE:

"Anhydrobiosis is defined as dehydration tolerance, which is the ability of a species to survive almost complete loss of body water." [place cursor here]

1.  Place your cursor where you want the citation to go.

2.  Click the Add/Edit Citation button (shown above).

3.  In the pop-up red box (shown smaller than actual size below) type some words from the article's title or the author's name.

The pop-up red box. A red letter Z with a tiny down arrow on the left of a white search box that has a wide red border.

4.  When you find the correct article, press enter/return.

The pop-up red box with the correct citation to insert. Roszkowska et al., 2023 enclosed in a light blue oval.

5.  In APA, if you are using a direct quote as in this example, you will need a page number, so click after the year to bring up the window where you can add it.

The pop-up red box with the correct citation to insert plus the correct page number. Clicking the citation to insert the page number brings up another pop-up window where you type in the page number.

RESULT:

“Anhydrobiosis is defined as dehydration tolerance, which is the ability of a species to survive almost complete loss of body water.” (Roszkowska et al., 2023, p. 1)

METHOD 2:

- THE CLASSIC VIEW -

1.  Follow steps 1-3 in Method 1, but when the red box pops up, click the arrow next to the Z, then click Classic View.

Close up detail of the red box after clicking on the tiny down arrow to bring up a two-choice menu: Keep sources sorted and Classic View. A green arrow points to Classic view.

Now you can see all of your captured items which makes it easier to find the right one.

The activated Classic View lets you see the list of your items, unlike the red box. Finding the correct article is easier (green arrow points to one) and you are able to add a page number if needed in the same window (green arrow points to this feature).

2.  Click on the item to add the page number, if necessary, then click the OK button.

- DO YOU PREFER THE CLASSIC VIEW? -

To bypass the red box and always use the Classic View, see the instructions on the Optional Changes to Zotero Settings tab of this guide.

Hint!

Sometimes you need to insert multiple in-text citations in one spot.  Use the Classic View and click the Multiple Sources button.
